Separate delivery from the first day of use
For a Troy project or outdoor activity, provide the first required use date and any restrictions on when equipment can arrive. Explain whether someone will be present. The team needs both pieces of information to discuss a workable arrangement, not just a calendar date.
Think about quiet periods as well as busy ones
If the site will be closed between work phases or event days, discuss how the unit remains accessible and who will check it. State whether cleaning access is restricted during those periods. A rental duration alone does not explain the pattern of use.
Close out the rental deliberately
When the need ends, contact the team to confirm removal and any final access instructions. Clear parked vehicles and stored materials from the collection route. Ask how extensions or changes affect the arrangement before the original finish date passes.
A quote for the actual arrangement
Compare the equipment, delivery and pickup, servicing and supplies—not only the rental duration. Explain fixed access windows or other restrictions before confirming. A request is not a reservation, and a requested date is not an agreed delivery time.
